About the African Constituency Bureau (ACB):

The ACB

serves as the cornerstone for Africa’s representation in the Global Fund to Fight HIV/AIDS, Tuberculosis, and Malaria (GFATM), covering both Eastern and Southern Africa (ESA) and West and Central Africa (WCA) constituencies. Established to ensure Africa’s voice and priorities are reflected in Global Fund strategies, the ACB facilitates effective participation, engagement, and policy shaping by African constituencies. Our headquarters in Addis Ababa is a hub for advocacy, capacity building, and strategic guidance within the GFATM processes.

Position Overview:

Reporting to the Head of Finance and Administration  the Program Management Assistant plays a pivotal role in supporting the programmatic functions of the ACB. This position entails assisting in the planning, execution, and administration of programs aimed at enhancing the participation and influence of African constituencies within the Global Fund. The incumbent will ensure the quality, accuracy, and consistency of program support services, working in close collaboration with internal teams, external partners, and stakeholders.

Responsibilities:

The Program Management Assistant will perform the following duties:

  • Coordinate and manage schedules, meetings, and communications for the Executive Director and program management team.
  • In collaboration with the Communications Specialist, draft, edit, and disseminate various documents, including reports, correspondence, newsletters, and press releases, ensuring clarity and alignment with ACB’s objectives.
  • In collaboration with Strategic Information Analyst, assist in compiling, analyzing, and reporting program data, ensuring accuracy and compliance with data protection standards.
  • Support the development, review, and finalization of ACB's annual work plan and contribute to creating and disseminating informational materials.
  • Facilitate logistical arrangements for meetings, workshops, and other program-related events.
  • Perform administrative tasks, including document management, minute-taking at meetings, and handling inquiries with professionalism and discretion.
  • In collaboration with the Communications Specialist, contributes to the development of ACB reports, publications, newsletter articles, press releases and other information materials.
Terms of Appointment

  • This is a full-time position with an initial contract of three years, including a three-month probation period, renewable based on performance and funding availability.
  • The ACB offers a competitive salary commensurate with qualifications and experience.
Job Requirements:
Qualifications:
  • Bachelor’s degree in International Development, Public Health, Social Sciences, Public Policy, or a related field.
  • A minimum of 5 years’ experience in program support, preferably within the domain of HIV, TB, and malaria programs in Africa.
  • Familiarity with global health initiatives and the landscape of international public health.
Experience and Skills:

  • Proven ability to draft and present complex information to diverse audiences.
  • Strong proficiency in Microsoft Office applications and familiarity with digital communication tools.
  • Excellent oral and written communication skills in English, with a good working knowledge of French preferred.
  • Demonstrated time management, organizational skills, and the ability to multitask.
  • Exceptional attention to detail and a commitment to high-quality work.
  • Professional demeanor, with superior telephone and email etiquette.
