Opportunity

The Assistant Supply Chain Officer position plays a critical role in supporting the supply chain operations of  Pharo Development, with a particular focus on procurement activities. This role is designed to assist the Supply Chain Unit in executing and monitoring purchasing processes effectively.  The role is based in Assosa, ensuring seamless coordination and delivery of procurement functions to meet the Foundation's operational needs.

Reports to: Supply Chain Officer 

Duty Station: Assosa, BGRS

Contract type: Permanent

Functional Relationships: Finance, Procurement, Education, and Construction Departments in Assosa and Homosha, Logistics and Liaison Officer Assosa, Storekeeper Pharo School Homosha.

                                          

Duties and Responsibilities

  • Collect sealed Pro-forma invoices/quotations from approved suppliers (The procurement committee shall suggest/decide from which supplier quotes shall be collected), unless it’s an open bid,
  • Prepare Price inquiry based on approved Purchase Requisition,
  • Prepare price analysis and present to Supply chain coordinator for review,
  • Prepare Purchase Orders using the approval system.
  • According to the Procurement plans consolidate and develop a Procurement tracking sheet.
  • Following and enforcing the company's procurement policies and procedures.
  • Reviewing, comparing, analysing, and approving items and services to be purchased.
  • Maintaining and updating supplier information such as qualifications, delivery times, product ranges, etc.
  • Maintaining good supplier relations and negotiating contracts.
  • Market assessment and evaluation of prospective potential suppliers.
  • Prepare purchase payment request and submit it to Finance together with supporting documents,
  • Submit supplier invoices to the Storekeeper and facilitate delivery of goods in collaboration with the Procurement team.
  • Properly record the procurement process on the procurement tracking sheet and generate reports.
  • Track supplier invoices and GRN and submit them to Finance on time,
  • Archive Procurement files properly in collaboration with the Procurement team,
  • Immediately notify the Line Manager of any allegation/suspicious or actual issues related to conflict of interest, transparency of procurements,
  • Performs other duties assigned by the Line Manager.

Qualification Requirements

  • Bachelor’s degree in Procurement, logistics and supply chain management, accounting, Management, or any other related field,
  • Minimum of 2 years relevant experience in similar organizations,
  • Ability to work with computers,
  • Commitment to the vision, mission, and values of the Foundation.
