Role purpose: Reporting to the Executive Head of department, Safaricom is looking for an experienced OSP Project Coordinator to join our team. The role involves preparing customary weekly reports, monitoring project progress, raising Purchase Requests/Orders (PRs/POs), verifying Bills of Quantities (BOQs), conducting/coordinating weekly vendor meetings, and collaborating with various company departments to ensure smooth project execution. The ideal candidate should possess strong organizational skills specifically to the telecom industry (Mobile/ Fiber Service provider), attention to details, and the ability to work effectively in a fast-paced environment.
Key accountabilities and decision ownership:
· Reports to Deployment OSP project Manager and works with other OSP team leaders’ side to side.
· Prepare weekly Reports: Generate and tailor weekly reports that track project performance, progress, and key deliverables. Use project management tools to provide insights, identify bottlenecks, and recommend solutions to keep the project on track.
· Monitor Project Progress: Continuously monitor project timelines, budgets, and resources to ensure the project stays on schedule and meets objectives. Report any deviations or risks to the project manager and team.
· Raise and Track Purchase Requests (PRs): Facilitate the procurement process by initiating PRs for materials, equipment, and services needed for the project. Ensure all PRs are accurate and align with the project scope and Contractor’s (Service Providers’) Price book(s). Tracking PO (Purchas Orders) status for each of the suppliers.
· Verify Bills of Quantities (BOQs): Review and verify OSP BOQs from vendors or suppliers to ensure accuracy, adherence to project requirements, and proper cost alignment. Resolve any discrepancies in coordination with the project and procurement teams.
· Collaborate with Cross-Functional Teams: Work closely with procurement, finance, engineering, and operations departments to ensure smooth project execution. Coordinate with internal teams to remove obstacles and ensure resources are efficiently allocated.
· Maintain Project Documentation: Keep accurate and up-to-date records/tracks of PRs, BOQs, MRs (material requests and tracking), reports, and vendor communications. Ensure all documentation is organized and easily accessible for reviews or audits.
· Assist with Issue Resolution: Quickly address and resolve project-related issues, whether related to procurement, vendor coordination, or cross-departmental challenges.
Must have technical / professional qualifications:
· Education: Bachelor’s degree in engineering, Computer Science/IT, or a related field.
· Experience: Minimum 2 years of experience in project coordination, Project control, or a related role, preferably in telecoms. In engineering or similar industries
· Excellent negotiation and communication skills
· Ability to work independently and manage and under pressure.
. Excellent MS Office skills especially on Excel, Word, and Power Point.
· Familiarity with procurement processes, PRs, and BOQ verification
· Familiarity with the telecom industry specifically in a Mobile/Fiber Service Provider or Operator.
